Diploma rules at the Faculty of Economics of the University of Gdańsk

General regulations

With regard to the submission of diploma theses and conducting diploma examinations, the following regulations are currently in force:

 

Instructions for students

The eCirculation Form  (activated by a member of staff at the Dean’s Office at the beginning of the examination session)

 

  1. SUBMISSION OF THE TITLE OF THE DIPLOMA THESIS 
    The diploma process in the eUczelnia system at the Faculty of Economics of the University of Gdańsk begins with the supervisor entering the thesis title into the system and its approval by the field coordinator. Once the thesis title has been approved, the supervisor assigns a student to the given topic.
     
  2. THE TITLE PAGE OF THE DIPLOMA THESIS
    A student assigned to a thesis topic may download the title page template. This should be done via the “Student” panel, under the “Studies – Diplomas” tab.
     
  3. CONSENT TO UPLOAD THE DIPLOMNA THESIS 
    Following the supervisor’s preliminary approval, the thesis is considered complete. The supervisor then allows the student to upload the thesis and enables submission in the system.
     
  4. DECLARATION OF INDEPENDENT COMPLETION OF DIPLOMA THESIS AND STATEMENT ON THE USE OF GENAI TOOLS
    Before to submission, the student is required to submit declarations confirming the independent preparation of the thesis and disclosing the use of artificial intelligence tools in its preparation. 
     
  5. UPLOADING THE DIPLOMA THESIS 
    The student receives an e-mail notification informing them that the thesis may be uploaded.

    In “the Student” panel, the student selects the Diplomas tab and enters the details of the diploma. The thesis is uploaded to the system in one of the following formats: PDF, DOC, DOCX, ODT, or RTF, with a maximum file size of 15 MB.
     
  6. THESIS APPROVAL
    At this stage, the supervisor checks whether the student has uploaded the correct diploma thesis file, previously agreed with the supervisor.
     
  7. ANTI-PLAGIARISM VERIFICATION
    At this stage of the e-diploma process, the thesis is examined using the Unified Anti-Plagiarism System. The thesis is admitted to the defence upon the supervisor’s approval of the anti-plagiarism report.
     
  8. ASSESSMENT BY THE SUPERVISOR AND REVIEWER
    The thesis is admitted to the defence upon receiving two positive reviews.
     
  9. DIPLOMA EXAMINATION
    The diploma exam at the Faculty of Economics is an oral exam conducted stationary in the faculty building.
    The diploma exam is held before a committee in the panel of: the chairman, the reviewer and the supervisor. The student will have to answer three questions - from the field of study, from the specialisation and from the thesis (in the case of the bachelor's exam, a short presentation may be required to accompany the question related to student ‘s thesis).
     
  10. FINAL GRADE
    The final diploma grade is calculated on the basis of:
    • the average grade obtained during the course of studies – weight: 0.5, 
    • the thesis grade (average of the supervisor’s and reviewer’s evaluations) – weight: 0.25, 
    • the diploma examination grade – weight: 0.25. 
       
  11. PREPARATION OF THE DIPLOMA EXAMINATION REPORT
    After the diploma examination the committee prepares and sends the signed report on the examination immediately to the Dean's Office.

Failure to submit the diploma thesis on time

If the diploma thesis is not submitted by the end of the basic examination session, a student shall be removed from the list, subject to § 35.2.2 of the Study Regulations.

 

Administrative procedures connected with submitting the diploma thesis

The conditions of taking the diploma examination are as follows:

  1. Obtaining all grades in the electronic index for all examinations and course assessments specified in the study programme (including the completion of diploma seminar); 
  2. No later than 7 days before to the scheduled diploma examination date, (submitting via the eUczelnia system) the student is obliged to obtain eCirculation Forms in the following units of the University of Gdańsk:
    • UG Library,
    • Department of Student and Staff Residences,
    • University of Gdańsk Career Office – it is necessary for the student to provide opinions in the graduate information eForm (survey concerning the professional careers of University of Gdańsk graduates) regarding:
      • the processing of the student’s e-mail address for purposes related to monitoring the professional careers of graduates, 
      • the processing of personal data and contact by the University concerning important events, opportunities to participate in research and development activities, and the University’s educational initiatives, 
      • the processing o personal data and the provision of information by the University of Gdańsk Alumni Club, including an invitation to join the club, 
      • making the diploma thesis available to people interested in it for scientific and research purposes;
  3. Sumbitting via the eUczelnia system of the diploma thesis approved by the thesis supervisor; 
  4. Obtaining a positive reviews of the diploma thesis from both the supervisor and the reviewer. 

Library

  • all borrowed books should be returned; 
  • financial debts towards the library (e.g., for overdue returns) must be settled. 

Student Dormitory Administration or Student Dormitory Department (refers only to the students living in the dormitory during studies)

  • all financial debts should be settled (including fees for living in a dormitory) 

Fees

  • all financial debts should be settled 
  • Students admitted and resumed SINCE the academic year 2019/2020 do not pay a fee for the diploma. 

Copy of Diploma in a Foreign Language (optional)

  • An application for the issuance of a copy of a diploma and a copy diploma supplement in a foreign language must be submitted to the Dean’s Office via the eUczelnia system. 

    If the foreign-language copy constitutes the second copy (original + two copies), no additional fee is required. 
     
  • Each additional copy of the diploma or additional diploma supplement is subject to a fee and requires submission of an appropriate application. 

    The fee for additional copies should be paid to the student’s individual bank account:
     
  • Additional diploma copy – PLN 20 
  • Additional diploma supplement copy – PLN 20 

Additional Information in the Diploma Supplement

At the student’s request, additional information may be included in the diploma supplement, such as details regarding skills, qualifications, and experience acquired at the University or externally on the basis of a referral issued by the University of Gdańsk.
In such cases, supporting documents confirming these achievements must be submitted to the Dean’s Office (from an email address in the ug.edu.pl domain) no later than 7 days before to the diploma examination.
